Administrative Project Manager

At Piedmont Airlines, our strength lies in delivering industry-leading service to our customers and airline partners. To maintain our standard of excellence, we are seeking a knowledgeable and detail-oriented Administrative Project Manager to join our Finance team. The Administrative Project Manager is a key member of the Finance Organization, responsible for leading administrative projects, managing office operations, and coordinating internal meetings and events. This highly organized and proactive professional ensures efficient day-to-day office functions, oversees cross-functional initiatives, and supports leadership by facilitating streamlined communication and execution. The ideal candidate combines project management expertise with exceptional administrative and organizational skills. This position reports to the Vice President, Finance.


Essential Duties:

  • Proactively plan, lead, and track administrative and operational projects from initiation to completion

  • Maintain comprehensive project documentation and ensure project tasks are timely and within budget

  • Collaborate with department heads and stakeholders to define goals, scope, deliverables, timelines, and resources

  • Synthesize input from multiple stakeholders to inform decision-making and drive execution of initiatives aligned with departmental goals

  • Identify gaps or inefficiencies in processes and proactively propose solutions with minimal oversight

  • Oversee daily office operations, including supplies, equipment, space planning, vendor relationships, and facility maintenance

  • Serve as the point of contact for internal support needs, coordinating administrative resources, and resolving operational issues

  • Coordinate and manage logistics for executive meetings, team meetings, off-site events, and internal trainings

  • Prepare agendas, track action items, record meeting minutes, and ensure timely follow-up

  • Manage calendars and schedule departmental meetings, including coordinating travel or accommodations if required

  • Assist with internal communications and presentation preparation for leadership or stakeholder meetings

  • Actively engage in and contribute to ad hoc projects, identifying opportunities to support departmental priorities and meet business needs


Job Qualifications and Competencies:

  • Bachelor’s degree in business administration, Project Management, or another related field

  • Two (2) years of experience in project management, administrative operations, or office management

  • Strong understanding of office systems, administrative support processes, and vendor management

  • Proven ability to manage multiple projects and responsibilities simultaneously

  • Demonstrated ability to take initiative and work independently in a fast-paced environment

  • Self-motivated with a continuous improvement mindset and a proactive approach to driving results

  • Exceptional written and verbal communication skills

  • Proficiency in Microsoft Office Suite and project management tools (e.g., Asana, Smartsheet)


Preferred Qualifications:

  • Master’s degree in business administration, Project Management, or another related field

  • Project Management Professional (PMP) certification or other project management credential

  • Experience supporting senior leadership or executive teams

  • Strong analytical skills and a continuous improvement mindset


Work Environment:

  • Standard office environment, use of telephones, computers, and other office equipment

  • Some travel may be required


Physical Requirements:

  • Occasional lifting up to 25 pounds
