Customer Service Coordinator

Position summary:
The Customer Service Coordinator supports the team at Roots Financial by completing organizational and customer service related tasks that keep the practice running. They coordinate communication between clients and all departments as well as assist in prioritizing workflows for the team’s Financial Advisors.
This role is critical to keeping the daily operations of the practice running, including, but not limited to utilizing Thrivent computer systems and programs in support of client relations and planning activities of the Financial Advisors, supports securities and insurance-related tasks and other administrative tasks as assigned. This is a fast-paced, detail-oriented position that requires the ability to multi-task and balance numerous demands and timelines simultaneously. The Customer Service Coordinator reports to and is employed by Roots Financial Group.
Position Responsibilities
- Act as a phone receptionist – receive incoming calls, respond to general questions, gather details around client needs
- Enter and maintain client information and interactions into various client relationship management systems
- Meet and greet clients at Hummelstown location
- Maintain, coordinate, and schedule client meetings with Financial Advisors
- Prepare documentation, agendas, and reports in advance of client meetings
- Communicate post-meeting summary, follow up, and action items to clients
- Complete forms for basic policy and account updates
- Research and respond to client inquiries
- Assist with marketing and logistics for events, conferences, social media, and overall branding
- Process and distribute incoming physical mail; send outgoing mail
- Assist in creating welcoming office environment for clients, guests, and colleagues
- Complete other miscellaneous tasks as assigned by Financial Advisors

Position Qualifications
- Previous customer service orientation/experience, 2+ years preferred
- Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint, Salesforce)
- Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions
- Ability to maintain integrity of sensitive/confidential information
