Development Coordinator, Direct Mail and Donor Engagement

We are looking for an experienced full-time Development Coordinator, Direct Mail and Donor Engagement responsible for supporting the day-to-day execution of the Food Bank’s direct mail and digital response programs, helping to ensure donor communications move forward accurately, on schedule, and in alignment with organizational and fundraising goals. This position coordinates with internal teams and external vendors to gather content, manage revisions, and navigate review and approval processes for donor-facing communications. The role also supports mass donor stewardship efforts through various platforms/tools and provides timely, professional customer service by responding to donor inquiries received through the development phone line and inbox.

Job Accountabilities:
- Oversee the day-to-day execution of the Food Bank’s direct mail and digital response programs, ensuring projects are completed accurately, on time, and in alignment with fundraising and stewardship goals.
- Serve as a key coordinator between internal stakeholders and external vendors by gathering content, managing revisions, and navigating review and approval processes for direct mail and digital donor communications.
- Support the planning, revision, and execution of donor communication strategies with agency and platform partners to strengthen donor engagement, stewardship, and retention.
- Assist with large-scale donor stewardship efforts, including coordinating acknowledgment and outreach initiatives through platforms such as ThankView and Handwrytten, as appropriate.
- Provide front-line donor support by monitoring and responding to inquiries received through the development phone line, general development inbox, and inboxes associated with donor solicitations and response efforts in a timely, professional, and service-oriented manner.
- Use Raiser’s Edge and related systems to research donor records, document interactions, and respond accurately to donor requests and customer service needs.
- Prepare and process special acknowledgment letters on a weekly basis, ensuring timely and personalized recognition for unique donor gifts and situations.
- Collaborate effectively with staff, donors, volunteers, and vendors to support fundraising operations and achieve Development team objectives.
- Support Food Bank events and related engagement activities in partnership with Marketing and other internal teams, as needed.
- Perform other duties and tasks as assigned.

Education and Experience:
Education:
- High school diploma or equivalent required.
- Associate’s or Bachelor’s degree in Communications, Marketing, Nonprofit Management, or related field preferred.
- Combination of education, experience, and/or training that provides the required knowledge and skills for the position would be considered in lieu of having a degree.
Experience:
- Minimum of two (2) years of experience in nonprofit fundraising, donor relations, or development operations.
- Experience with direct mail campaigns, donor stewardship, or similar roles is highly preferred.
- Experience with event planning is preferred.
- Familiarity with donor databases and stewardship platforms such as Raiser’s Edge, ThankView, Handwrytten, or similar systems is preferred.
- Experience with photo editing software such as Adobe Photoshop or Illustrator, a plus but not required.
Knowledge, Skills, and Abilities:
- Passion for the Food Bank’s mission and core values.
- Ability to understand and work with the diverse dynamics of a non-profit as well as multi-cultural populations.
- Knowledge of direct mail and digital fundraising workflows, including content collection, revision management, production timelines, and approval processes.
- Strong written communication, editing, and proofreading skills with the ability to prepare accurate, donor-centered communications that align with organizational voice and brand standards.
- Ability to manage multiple projects simultaneously, track revisions and approvals, and meet deadlines in a fast-paced environment.
- Ability to work collaboratively with internal teams and external vendors to support effective execution of fundraising and stewardship communications.
- Ability to provide timely, professional, and donor-centered customer service while maintaining confidentiality and exercising sound judgment.
- Ability to work as part of a high-performance team and be a strong team player.

- Ability to operate standard office equipment (machines, tools, and devices) used in performing only the essential functions include computer and related equipment, calculator, photocopier, and telephone.
Physical Requirements or Licenses:
- This position can work remote, in-office or hybrid at the discretion of the SVP/Chief Development Officer or based on the needs of the organization. However, the incumbent must be available to go into the office on an as needed basis to assist with onsite projects, such as internal mailings, events or meeting set up.
- A valid driver’s license with history of a good driving record.
- Ability to travel that may include consecutive overnight stays, and traveling by car, bus, and airplane.
- Conditions may include working outside in inclement weather, working closely with others, working alone, and working protracted or irregular hours.
- Must be able to occasionally lift and/or move up to 25 pounds.
- The work environment is typically quiet.
