Retail Donation Coordinator

We are looking for an experienced full-time Retail Donation Coordinator responsible for the identification, development, training, and recognition of new and existing retail donors and agency partners. This would include, but not be limited to, attending store meetings and store training sessions; monitoring and reporting donation progress to store managers, district managers and program coordinators where applicable; and managing relationships with qualified agencies. The position will report directly to the Senior Retail Donation Manager (SRDM) and may work and travel throughout the Central Pennsylvania Food Bank’s (CPFB) 27-county service territory – but will also be assigned specific counties for which this position will be directly responsible for developing and maintaining retail relationships. The role of the RDC is to strengthen relationships with our agency partners and donors, to establish accountability and protocols for donations, and to ensure that both donors and agency recipients follow established CPFB and Feeding America (FA) guidelines and procedures. Aspects of the RDC position are focused on outside “sales” and travel throughout a specific defined region within the CPFB’s 27-county service territory. This advances the number and volume of food donations to the CPFB and our partner agencies. A good portion of time will be spent on client relationship management, with the RDC working independently to foster robust partnerships. This aspect of the position also requires remote work and travel throughout our 27- county territory.


Rate: $20.57 – $22.83 depending on skills and experience

Job Accountabilities: 

• Implement training, oversight, and direction of the Retail Donation Program to ensure that the program is operating efficiently, with an emphasis on food safety. This will require inperson visits, phone calls, and follow up emails to both partners and donors in the assigned region within the CPFB’s 27-county service territory. 

• Monitor donation process at a retail level, to ensure food is being handled safely, and procedures are being followed by all parties involved.

• Expand donation opportunities by seeking out new retail partnerships and by maximizing donation collection days with existing donors. 

• Review and maintain primary databases and platforms, and assess reports to assess donors and recipients, to strengthen relationships and increase donations. 

• Represent the CPFB at agency and retail donor site visits, events, and conferences to provide donor recognition and to help advance the CPFB’s food donation programs and partnerships. 

• Implement specific donor-based strategies to increase poundage in targeted foods-to encourage categories to include underperforming retail partners and all other food donors. 

• Maintain and update the store donation toolkit for each retail banner to be used during onsite visits. 

• Cultivate and expand a food donor stewardship and recognition program. Update the program as changes and opportunities are presented. 

• Provide training on donation procedures as needed to both donors and agencies to ensure program compliance and safety measures are being followed. 

• Prepare and distribute program support materials for partner agencies and donors. 

• Ensure that participating agencies are adhering to our Retail Donation Memorandum of Understanding and all CPFB and Feeding America compliance requirements.

 • Travel 3-4 days per week on average (locally within our service territory), with a targeted 3-5 donor and agency visits daily throughout the regional service territory. 

• Electronically distribute FDA recall notices to agencies participating in the food rescue program to increase awareness of potential food safety issues, contaminants, and hazards. 

• Understand the capabilities of the agency partners within the assigned regional territory to be able to match an agency partner directly with available food rescue donations. 

• Promote and market the mission of CPFB to food industry groups, donors, vendors, etc., through the attendance at meetings, conferences and industry events to increase awareness and develop new connections for CPFB. 

• Demonstrate solid public speaking willingness, presentation skills, capacity building, and communication skills (both oral and written). 

• Prepare weekly activity reports on retail donor activities, agency visits and opportunities, and provide program updates to the SRDM during weekly 1:1 meetings.

• Maintain the CPFB’s agency enabled retail donor databases and reporting platforms, facilitate the donor receipting process, and participate in collecting, analyzing, and reporting data on all food sourcing activities. 

• Assist with the expansion of all program software for agency donation reporting, to include training and report monitoring for all agencies utilizing and adopting the platform. 

• Maintain a positive attitude and professional relationship towards all food donors, partner agencies, and colleagues. 

• Support special events as necessary. 

• Perform other duties and tasks as assigned. Other Duties:

Education and Experience:

Education: 

• High School Diploma or GED required 

• A college degree preferred or two - three years’ comparable sales and marketing experience. Combination of education, experience, and/or training that provides the required knowledge and skills for the position. 

Experience: 

• A minimum of 2-3 years’ experience in a sales position or equivalent experience is desired. 

• Experience in the retail grocery industry or food industry experience is desired. 

• Non-profit or food bank experience is a plus. Knowledge, Skills, and Abilities:

• With the use of a food bank vehicle, ability to travel 3-4 days per week within the specified region of our 27-county territory. 

• Ability to work in a fast-paced environment. 

• Ability to attend departmental and all-staff meetings as directed, staying informed of ongoing changes in departmental operations and overall organization. 

• Knowledge of the organization’s computer software and systems, including Microsoft Office Suite, department-specific software systems, telecommunications, and internet applications. 

• Ability to operate standard office equipment (machines, tools, and devices) used in performing only the essential function include computer and related equipment, , calculator, photocopier, fax machine, and telephone. 

• Must be trustworthy, as may be exposed to sensitive, complex, or confidential information from retail donation partners. Supervisory Responsibilities: None.

Physical Requirements or Licenses: 

• Ability to work remotely, in-office, or hybrid at the discretion of the SVP/Chief Programs Officer, with reliable internet access and an appropriate workspace when working remotely. 

• A valid driver’s license with history of a good driving record; access to viable and dependable transportation is mandatory. 

• Ability to travel, which may include consecutive overnight stays, very early morning departures, and travel by car, bus, or airplane. 

• ServSafe Manager Certification or commitment to becoming ServSafe Manager Certified within the first year.

• Conditions may include working outside in inclement weather, working closely with others, working alone, and working protracted or irregular hours. 

• Must be able to occasionally lift and/or move up to 30 pounds. 

• The CPFB work environment is moderately loud.
